Grants & Office Administrator (Executive Assistant)

Progressive States Network seeks a motivated, detail-oriented individual to coordinate the grants management process and to provide administrative support to the Executive staff while coordinating the organization’s communication with funders and donors. The Grants & Office Administrator will be responsible for ensuring that a timely and complete grants calendar is maintained and that an accurate reporting process is followed. This person will work with the Executive staff to ensure there is a continuous dialogue between the organization and its funders and strategic partners. The Grants & Office Administrator will work closely with the Executive Director on Board management functions to ensure high-quality professional and timely communications are sustained. The Grants & Office Administrator may also assist in planning and executing the organizational annual event and smaller events throughout the year. This position has potential for growth.
 
Desired qualifications and experience include
  • Demonstrated ability to multi-task, prioritize and work independently on time-sensitive tasks with superb follow-up methods
  • Strong propensity for critical thinking and showing initiative in order to keep Executive Staff informed of potential issues
  • Superb writing and editing skills necessary for external organizational correspondence
  • Strong Microsoft Excel skills (formatting, editing, etc…)
  • Comfort level communicating independently to a Board of Directors
  • Experience, commitment to, and enthusiasm for working collaboratively with a talented, creative, and passionate team
  • 2-3 years of experience supporting Executive staff and/or working with grants
  • An understanding of basic financial management concepts including budgeting
  • An understanding of philanthropy and nonprofit management a plus
 
Core Job Responsibilities

Executive Staff Support

  • Administrative support of the Executive Staff
  • Calendar Management and critical date follow-up
  • Working closely with Board of Directors, managing communication between the Executive Director and the Board, assisting in Board development activities and planning Board meetings
  • General coordination and support of additional meetings as necessary
  • Other related activities

Grants Support

  • Responsible for maintaining Grants calendar in Microsoft Excel
  • Monitoring critical dates and follow-up activities
  • Collaborating with staff to produce grant reports and proposals
  • Coordination with staff to meet critical deadlines
  • Management of time-sensitive correspondence to funders and donors
  • Ensuring accuracy of grants and resource development files
  • Other related activities

Salary is commensurate with experience.

Legal Fellowship Applicants Welcome!

Progressive States Network (PSN) seeks recent law school graduates to host as fellows. Fellowships can include, but are not limited to those funded by Equal Justice Works, Open Society/Soros Foundation, and school specific fellowships.

PSN blends analysis and action to provide coordinated strategic support for a network of state legislators, their staffs and advocacy groups, in order to equip them with coherent logistical and strategic advocacy tools necessary for advancing key progressive economic and social policies. PSN is working to establish a cohesive network and support system for progressive legislators, while building a concerted movement dedicated to grassroots social and political change across the nation. Since Progressive States is dedicated to breaking down single issue politics in favor of a shared multi-issue agenda, fellows will have the opportunity to work closely with our policy staff on a range of issues in the context of alliances with labor, civil rights, environmental and affordable housing organizations.

Any candidate must be self-motivated and an innovative thinker and organizer with a dedication to public interest issues. Excellent verbal and writing skills are an essential requirement. Candidates must have a demonstrated commitment to public service and experience in policy advocacy or community organizing is a plus. But most of all, we are looking for smart, creative thinkers and doers who want to learn how to help build and strengthen the progressive movement in this country.
